PTWO LLC (“ClubScout,” “we,” “us,” or “our”) operates the ClubScout website at myclubscout.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website and use our services.

Information We Collect

Account Information

When you create an account, we collect your email address, a password (stored in hashed form — we never see or store your plain-text password), and a display name you choose.

Reviews

When you submit a review, we collect your ratings across six categories (overall, coaching quality, communication, value for money, player development, and club culture) and your written review text (50–2,000 characters). Reviews are associated with your account and displayed publicly with the display name you chose.

Club Claims

When a club director claims a club listing, we collect the email address used for domain verification. If your email domain matches the club’s website domain, the claim may be automatically approved.

Automatically Collected Information

When you visit ClubScout, we automatically collect certain information including your device type, browser type, IP address, pages visited, referring URL, and approximate geographic location. This data is collected through analytics tools described below.

How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain ClubScout
  • Display reviews and aggregate club ratings
  • Process club claim requests and verify ownership
  • Send service-related emails (email verification, claim notifications, review notifications)
  • Analyze usage patterns to improve the platform
  • Respond to your inquiries and support requests
  • Detect and prevent fraud or abuse

Analytics and Cookies

ClubScout uses the following analytics and tracking technologies:

Google Tag Manager and Google Analytics 4

We use Google Tag Manager to manage tracking scripts and Google Analytics 4 to understand how visitors use our site. GA4 collects information such as page views, session duration, user behavior flows, and approximate geographic location. Google may use this data in accordance with its own privacy policy.

Vercel Analytics

We use Vercel Analytics to track page views, referral sources, and geographic distribution of visitors. This service collects aggregated, privacy-friendly data.

Vercel Speed Insights

We use Vercel Speed Insights to monitor Core Web Vitals and page performance metrics, helping us keep the site fast and responsive.

Cookies

ClubScout uses the following types of cookies:

  • Authentication cookies — Supabase session cookies that keep you logged in. These are essential for the site to function and expire when your session ends.
  • Analytics cookies — Set by Google Analytics to distinguish unique users and track sessions. These typically expire after 2 years.

You can control cookies through your browser settings. Disabling cookies may affect your ability to log in or use certain features.

How We Store Your Data

Your data is stored in Supabase, a cloud-hosted PostgreSQL database with industry-standard security measures. All data is encrypted in transit via TLS. Passwords are hashed using bcrypt and are never stored in plain text. We use row-level security policies to ensure users can only access data they are authorized to see.

Email Communications

We send transactional emails using Resend, a third-party email service provider. These emails include:

  • Email verification when you create an account
  • Claim submission, approval, and rejection notifications
  • New review notifications for club administrators
  • Review removal notifications

We may also send outreach emails to club directors whose clubs are listed on ClubScout, inviting them to claim and update their listings. We do not operate marketing email lists at this time.

Third-Party Services

ClubScout uses the following third-party services that may collect or process your data:

  • Supabase — Database hosting and user authentication (Privacy Policy)
  • Vercel — Website hosting, analytics, and performance monitoring (Privacy Policy)
  • Google — Tag Manager and Analytics 4 (Privacy Policy)
  • Resend — Transactional email delivery (Privacy Policy)
  • Mapbox — Map display on club listing pages. Mapbox does not receive your personal information through our implementation (Privacy Policy)

Data Retention

  • Account data is retained for as long as your account is active. You can request deletion at any time.
  • Reviews are retained as long as your account exists. If you delete your account, your reviews may be anonymized (display name removed) rather than deleted, to preserve aggregate rating integrity.
  • Analytics data is retained according to each third-party provider’s retention policies.
  • Club contact information used for outreach is retained for legitimate business communication purposes.

Children’s Privacy

ClubScout is designed for parents, guardians, and club administrators — all of whom are adults. While the site’s subject matter involves youth soccer, we do not knowingly collect personal information from children under the age of 13.

If we learn that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information promptly. If you believe a child under 13 has provided personal information to ClubScout, please contact us immediately.

Your Rights

You have the right to:

  • Access your data — View your account information and reviews on your account page.
  • Request data export — Contact us to receive a copy of the personal data we hold about you.
  • Request deletion — Ask us to delete your account and associated data.
  • Correct inaccurate information — Update your display name and other profile information through your account settings.

Massachusetts residents may have additional rights under state privacy laws. To exercise any of these rights, please contact us at the email address below.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. Your continued use of ClubScout after any changes constitutes your acceptance of the updated policy.
